Production Billing Assistant is a key liaison between the Billing Teams, Producers, vendors, and clients. This person ensures smooth financial and administrative processes for all client and vendor-related projects, with a primary focus on managing internal documentation, invoice flow, and coordination tasks.

Document Management & Organization

• Collect all finance-related documents received from Producers, including invoices and purchase orders
• Develop & Maintain a centralized database with all client and vendor invoices and other finance-related documentation
• Ensure all documents are accurately labeled and stored in appropriate folders, accessible to relevant team members

Vendor Communication & Support

• Liaise with vendors to resolve discrepancies, request missing documentation, and clarify payment timelines or requirements.
• Track and follow up on any outstanding documentation or unresolved queries to maintain smooth payment workflows.

Internal Finance Liaison

• Serve as the main contact between the Producers’ team and the Department that takes care of sending client invoices & receiving the vendor invoices.
• Troubleshoot and resolve invoice challenges with the Department that takes care of sending client invoices & receiving the vendor invoices.

Client & Market-Specific Documentation

• Anticipate documentation needs and maintain a proactive approach to avoid delays in project closure and payments.

Process Improvement

• Propose and help implement process improvements to prevent repeated issues and ensure consistency across markets.

• Strong organizational and time management skills
• Excellent communication and interpersonal skills

• Fluent English level (writing & speaking)
• Fluent Ukrainian level (writing & speaking)
• A strong proficiency in all MS Office applications, particularly Excel, is essential. The candidate must also be proficient in using email and internet search tools

• Ability to multitask and prioritize effectively
